Job Description:
Reporting to the CEO, the Staff Accountant will work closely with the Senior Accountant and Finance Manager as well as individual family members and family-owned businesses. The Staff Accountant will be responsible for managing day-to-day accounting needs across a portfolio of entities, including bill pay management for family-owned personal assets and bookkeeping for family-owned businesses. This position works closely with Bernard Robinson & Co. and other external tax preparers to ensure accurate and timely tax preparation support. The Staff Accountant does not manage the family office’s own financials or the bookkeeping for the family foundations. The ideal candidate is highly discreet, service-oriented, and comfortable working in a dynamic, high-touch environment supporting both business and personal financial needs.

- Bachelor’s degree required; Master’s preferred.
- At least five years of experience, preferably in public accounting.
- Relevant experience related to the complex needs of high-wealth families, their trusts, investment partnerships, and philanthropic endeavors is beneficial.
- Experience with nonprofit accounting, including fund accounting and grant tracking, is a plus.
- Strong financial and business acumen with high attention to detail.
- Solid critical thinking skills including the ability to identify process improvement opportunities and solve problems.
- Coachable and adaptable to a rapidly changing environment.
- Intermediate-level Excel skills.
- Proficiency in QuickBooks.
- A strong reputation for integrity and professionalism.
- Possess intellectual curiosity and a drive to excel.

Essential Duties and Responsibilities.
Management of Family Assets:
- Manage bill pay and expense tracking for family-owned personal assets, including beach houses, boats, vehicles, and other high-value property.
- Process vendor invoices, utility payments, insurance premiums, maintenance contracts, and other recurring expenses for personal assets on a timely basis.
- Monitor cash flow for personal asset accounts and coordinate with family members to ensure adequate funding.
- Maintain organized records of all asset-related expenses for reporting and tax preparation purposes.
- Coordinate with property managers, concierge services, and other professionals to ensure high-quality care for family-owned assets.
- Utilize property and lifestyle management platforms (e.g., Nines Living) to coordinate property operations and coordinate stays and tasks.
Bookkeeping for Family-Owned Businesses:
- Maintain accounting software files for family-owned businesses (LLCs and other entities), including monthly reconciliations and check writing on an ongoing basis.
- Coordinate with entity managers to ensure all expenses are accurately reported and paid via weekly or bi-weekly calls.
- Manage the accounting function for various business entities, including cash flow analyses and the development of analytical tools and spreadsheets.
- Design, establish, and direct monthly close processes for assigned entities.
- Review and reconcile all monthly statements from third-party financial institutions, investment accounts, and brokers.
- Manage the preparation of financial forecasts and budgets for assigned entities.
- Provide effective financial controls for the entities under management.
Tax Preparation Coordination:
- Coordinate with Bernard Robinson & Co. and other external tax preparers to provide all necessary financial records, schedules, and supporting documentation for tax return preparation.
- Ensure that all financial records are maintained in a manner that supports accurate and efficient tax preparation.
- Respond to inquiries from tax preparers and assist in resolving discrepancies during the tax preparation process.
General:
- Participate as needed and in collaboration with others to provide financial analysis or special projects for individual family members and/or Trustees, as desired.
- Assist in the preparation of the Annual Family Retreat and regular Board, Advisor, and Committee meetings as needed.
- Work closely with CIBC on financial reports for the family and its associated entities as applicable.
Note: This role does not include management of Coventry Enterprises’ own financials, bookkeeping for the family foundations, or direct tax preparation. Tax preparation for all entities is managed by external firms.
